Boafo ("we", "our", "us") operates a business management platform that helps small and medium enterprises (SMEs) sell to customers through WhatsApp and manage their business operations. This privacy policy explains how we collect, use, store, and protect personal information.

Who we are

Boafo is a technology platform created by SyneroLabs, based in Accra, Ghana. We provide business management tools including WhatsApp-based customer communication, order management, invoicing, payments, and inventory tracking for SMEs.

Information we collect

From SME owners (our merchant clients):

  • Account information: name, phone number, email address
  • Business information: business name, type, location, operating hours, product catalog, pricing
  • Payment settlement details: Mobile Money number or bank account details (for receiving customer payments via Paystack)
  • WhatsApp Business Account information: phone number, verified business name, messaging data

From customers of our merchants:

  • WhatsApp messages exchanged with the merchant's AI agent, including text content and timestamps
  • Contact information: name and phone number as provided through WhatsApp
  • Order information: products ordered, quantities, delivery addresses, payment method
  • Transaction data: amounts paid, payment references, payment status

Automatically collected:

  • Device and browser information when accessing the Boafo dashboard
  • IP addresses, access times, and usage patterns
  • Cookies for authentication and session management

How we use information

  • To provide the service: processing orders, sending WhatsApp messages on behalf of merchants, generating invoices and receipts, tracking inventory, managing payments
  • To improve the AI agent: analysing conversation patterns to improve response accuracy and customer experience. We do not use individual customer messages for training AI models without explicit consent.
  • To communicate: sending OTP codes for authentication, order notifications, payment confirmations, and service updates via WhatsApp
  • To process payments: facilitating transactions between customers and merchants through Paystack, including creating and managing merchant subaccounts
  • To generate business insights: providing merchants with summaries of their sales, customer patterns, and inventory status
  • To maintain security: detecting fraud, preventing abuse, and protecting accounts

WhatsApp data processing

Boafo uses the Meta WhatsApp Business Platform to send and receive messages on behalf of our merchant clients. This means:

  • We access and process WhatsApp messages between merchants and their customers to provide AI-powered customer service and order management
  • We store message content, sender information, and timestamps to maintain conversation history and provide context-aware responses
  • We manage WhatsApp Business phone numbers registered under our WhatsApp Business Account on behalf of merchants
  • We use approved WhatsApp message templates for transactional notifications (order confirmations, payment receipts, OTP codes)
  • We do not sell, share, or transfer WhatsApp message data to third parties for advertising or marketing purposes
  • We comply with Meta's Platform Terms and WhatsApp Business messaging policies

Payment data

Customer payments are processed by Paystack, a PCI-DSS compliant payment processor. Boafo does not directly store credit card numbers, bank account credentials, or Mobile Money PINs. We store transaction references, amounts, and settlement status for record-keeping and merchant reporting.

Merchant settlement details (Mobile Money numbers or bank account numbers) are stored securely for the purpose of configuring Paystack subaccounts that route customer payments to the merchant.

Data sharing

We share personal information only in the following circumstances:

  • With merchants: customer order information, contact details, and conversation history are shared with the merchant whose business the customer is interacting with
  • With service providers: we use Paystack for payment processing, Meta for WhatsApp messaging, and AI providers for natural language processing. These providers process data on our behalf under contractual obligations
  • When required by law: we may disclose information if required by Ghanaian law, regulation, court order, or governmental request

We do not sell personal information to third parties. We do not use customer data for advertising.

Data storage and security

  • Data is stored on servers hosted by DigitalOcean with encryption at rest and in transit
  • Access to production systems is restricted to authorised Boafo team members
  • Authentication uses phone-based OTP verification via WhatsApp
  • All API communications use HTTPS/TLS encryption
  • Payment credentials are never stored in plaintext

Data retention

We retain merchant account data and business information for as long as the account is active, plus 12 months after account closure for record-keeping.

Customer conversation data is retained for 24 months to provide context-aware service and enable merchants to reference past interactions. Merchants can request deletion of specific customer conversations.

Transaction records are retained for 7 years in compliance with Ghanaian tax and financial record-keeping requirements.

Your rights

If you are a merchant using Boafo, you can:

  • Access, update, or correct your account information through the dashboard
  • Export your business data (orders, customers, transactions) at any time
  • Request deletion of your account and associated data
  • Request deletion of specific customer records

If you are a customer who has interacted with a Boafo-powered merchant, you can contact us to request access to or deletion of your personal data.

Children's privacy

Boafo is designed for business use and is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.

Changes to this policy

We may update this privacy policy from time to time. We will notify active merchants of material changes via WhatsApp. The latest version is always available at this URL.
